How Secure Is Your Office 365 Tenancy?
April 17, 2018

Here we take a look at how cloud technologies such as Office 365 enable businesses of all sizes to be more productive, collaborate in better ways and improve how employees get their best work done.

Giving staff the ability to create content, work together and share it externally with partners, suppliers and customers means you reduce the time it takes to get feedback and progress to the next stage of a project or deal.

Tools such as the core Office products (Word, Excel, PowerPoint, Outlook), OneDrive and SharePoint (for storage and sharing) provide excellent functionality for driving business productivity, however, they can also introduce a level of risk if not correctly assessed and managed.

Office 365

Office 365 includes advanced and powerful security and compliance features to help ensure you protect your digital assets, and reduce the risks associated with using Cloud products and technologies.

Organisations are often unaware that it’s possible to set up simple monitoring in Office 365 such as receiving automated alerts when certain activities are carried out, such as a user signing in from an unfamiliar location, or another user being incorrectly promoted to have administrator rights.

Many of the products in Office 365 have administrator portals that allow an organisation to control and fine tune how their services are used by employees and/or external parties, but many organisations either lack the time or expertise to correctly set the services up.  In addition, managing multiple services can be overwhelming and confusing.

One solution to this is to engage with a managed service provider and allow them to monitor and manage the Office 365 services.

Office 365 Secure Score

Another option is to make use of Office 365 Secure Score.  This is a central portal that gives insights into your current (and future) security position by looking at the services deployed and how they are enabled.

Secure Score can help your organisation quickly understand what immediate actions need to be taken to improve your score and overall security whilst reducing your risk and potential attack surface.  By accumulating data and information from a large set of signals across Office 365, Secure Score provides an easily understandable and actionable plan for increasing the security of your Office 365 tenancy.

For example, one of the quickest recommendations that will increase your score is to enable Multi-Factor Authentication (MFA) for all Global Administrators.  MFA is a feature that prompts a user to verify they are who they say they are when they try to log into an Office 365 service – they usually have to input a code received by text message or phone call or accept a prompt on their mobile or tablet device to authorise the login.  By enabling this control, you can reduce the risk of an account breach or elevation of privilege.

Secure Score includes a range of simple, intermediate and advanced techniques and features to reduce the overall risk to your organisation.  Depending on your organisations requirements and individual needs, a mix, most or all these recommendations can be implemented.

GDPR compliant

With the upcoming GDPR legislation, one of the key aspects for organisations is to demonstrate accountability for data.  With Secure Score, you make use of the Score Analyser to track and report on your security position over time.

Secure Score is available from https://securescore.office.com – you will need to sign in with an Administrator account to see your Score and implement recommendations.

What next?

If, after reviewing your score, you are unsure which recommendations to implement, or how to implement them, Etain's Microsoft Practice expert, Kyle Downey can offer advice and consultancy on how best to approach securing your Office 365 Tenancy and company data.

Note: The Secure Score does not express an absolute measure of how likely you are to get breached. It expresses the extent to which you have adopted controls which can offset the risk of being breached. No service can guarantee that you will not be breached, and the Secure Score should not be interpreted as a guarantee in any way.
